Most troops keep their roster in a spreadsheet with an impossible choice: share it with everyone and expose every family's contact info, or lock it down to one volunteer who becomes the bottleneck for every update. And when that volunteer steps down, the roster — and the knowledge of who's allowed to do what — leaves with them. Starting from scratch shouldn't be a scouting tradition.
Roles
Everyone who logs in gets a view built for their job. Admins see everything, leaders see what they need to run the program, and parents see their own family — nothing else. There's even a guest role for visiting families joining a single trip. Controls a person can't use simply don't appear on their screen, and every action is checked again on the server.
Granular Permissions
Every leader's access is built from more than 50 individual permissions, grouped by real jobs rather than tech settings. Flip them on or off right from the leader's profile page. A new treasurer can get every money permission without being able to touch the roster — and your outing coordinator never accidentally ends up in the books.
Trip Managers
Assign any leader as the manager of a specific trip, and they can run that trip end to end — edit the details and schedule, approve or deny signups, record income and expenses, post refunds. Every other trip stays hands-off for them. It's real delegation without handing over the whole troop.
Family Connections
Connect each parent or guardian to their scouts once, and the portal takes it from there. Parents log in to see their own scouts' balances and trip signups — never another family's information. Siblings, both parents, and even non-scout family members all live under one connected family.
Roster & Invites
Your whole troop lives in one searchable directory — leaders with their titles, members, and pending invitations. Invite new families by email, and their account is ready the moment they click the link. Because everything belongs to the troop's site rather than one volunteer's laptop, handing off a role means flipping permissions, not rebuilding a spreadsheet.
Who It Helps
No. Parents only see the scout accounts connected to them — their scout list is literally labeled 'My Scouts.' Other families' balances, signups, and details never appear in their view. Member contact info is only shown to the troop if that member chooses to make their phone or email public, and management pages simply don't exist in a parent's view.
Open their profile and toggle on the money permissions — posting balance entries, editing transactions, importing, transferring — while leaving member management off. It takes about a minute, and one click resets everything to defaults if the job changes hands again. That's the whole point: access follows the job, not the person.
Yes — that's exactly what trip manager assignments are for. Assign a leader to Trip A and they can edit its details, approve signups, and handle its finances, while Trip B stays hands-off. If someone really does coordinate every outing, an admin can grant them 'all trips' overrides instead.
Invite them by email from the trip. When they accept, they get a login scoped to just that one trip — they can see its details and their own family's signup, but nothing else in your troop. Pending invites can be resent or withdrawn, and when the trip is over an admin can remove the guest from the unit.
No. One plan includes everything — unlimited leaders, members, and scouts — for $25 a month or $250 a year. Roles, permissions, family connections, and guest invites are all part of it, and you can try everything free for 30 days with no credit card required.
Not yet — online payments are in active development and releasing soon. Today, parents see their balance anytime, pay the troop directly by whatever methods you post (Venmo, Zelle, check), and the treasurer records the payment in a couple of clicks. The payment instructions you set in Site Settings appear right where parents check their balance.
